TAD-346 (430-0703) Basic Operation Faxback Doc. # 8986 SETTING THE TAD TO ANSWER CALLS Press ANSWER to set the TAD to answer calls. The ANSWER indicator flashes as the TAD positions the tape. Then the TAD says, "Answer calls, Record messages" and the ANSWER indicator lights steadily. NOTES: The call counter increases by one each time the TAD answers a call. The message counter increases by one each time the TAD records a phone message, memo, or two-way conversation. If you press ANSWER when the incoming message tape is full, 8 beeps sound, and the TAD says, "End of tape." If you try to set the TAD to answer calls and record messages without loading the outgoing announcement tape, the TAD says, "No announcement tape." If the TAD is in the answer and record mode and answers when the incoming message tape is full, it sounds 8 beeps instead of playing the outgoing announcement. Then the TAD says, "Error, End of tape," and waits about 7 seconds for the remote code entry. If the caller does not enter the code within 7 seconds, the TAD hangs up. SETTING THE TAD TO ANNOUNCE-ONLY Set the TAD to announce-only when you do not want to record callers' messages. Set INCOMING MESSAGE to ANN ONLY. Then press ANSWER. The ANSWER indicator flashes rapidly while the outgoing announcement tape rewinds. Then the TAD says, "Answer calls, Play announcement" and the ANSWER indicator lights steadily. If you do not want the TAD to answer calls, press STOP. The TAD announces the time, date, call count, and message count, and the ANSWER indicator turn off. SCREENING CALLS To screen your calls, let the TAD answer all calls for you. When the caller begins to speak, either let the TAD record the caller's message or pick up any phone connected to the same line as the TAD and talk to the caller. If you do so, the TAD resets for the next call. NOTE: If you pick up the phone right when the TAD answers, the TAD might not stop recording. If this happens, hang up the phone and pick it up again. PLAYING MESSAGES The TAD separates messages into two groups - new and old. The new message group contain messages you have not played. If you reset the TAD to answer calls without playing all of the new messages, those messages remain part of the new message group. The old message group includes all messages you have already played. When you play all of your new messages and reset the TAD to answer calls, all of the messages become part of the old message group. NOTES: After you play messages, the TAD is no longer set to answer calls. If you want the TAD to answer calls, press ANSWER. See "Setting the TAD to Answer Calls." If you reset the TAD to answer calls before you listen to all of your new messages, the TAD fast-forwards the tape to the end of the messages before it answers calls. This prevents you from accidently recording over unplayed messages. PLAYING NEW MESSAGES When the ANSWER indicator flashes slowly you have at least one new message. If the record indicator flashes slowly, you have at least one new recorded memo of conversation. To play new messages, memos, and recorded conversations, press PLAY. To stop playback, press STOP. When the TAD is stopped, press RE-WIND or FAST-F to quickly rewind or fast-forward the tape. Then press PLAY to resume playback. After all the messages play, the TAD says, "End of messages." If only the record indicator flashes and the ANSWER indicator is off, press REWIND to rewind the tape. Then press PLAY to play the recorded memo or conversation. VOICE STAMP The voice-stamp feature helps you keep track of your messages. At the end of each message, the TAD announces the order of the message, if the message is a memo or a recorded conversation, and the time, day, and date of the recording. USING CUE/REVIEW As you play the messages, you can quickly move the tape past messages you do not want to hear or rewind the tape to review a particular message. Press and hold down FAST-F or REWIND during playback. Release the button to resume normal playback. The tape automatically stops at the beginning and end of the new messages and at the beginning and end of the tape. When the tape reaches the beginning of the messages or the beginning of the tape, the TAD stops and says, "Beginning of messages" When the tape reaches the end of the last new message or the end of the tape, the TAD stops and says, "End of messages" or "End of tape." REPLAYING MESSAGES To replay messages, press FAST-F or REWIND to position the tape as desired. Then press STOP to stop the tape, press PLAY to begin playback. If you have not yet reset the TAD to answer calls, the tape stops rewinding at the beginning of the new message group and the TAD says, "Beginning of messages." If you press REWIND again, the tape rewinds to the beginning and TAD says "Beginning of tape." When you press FAST-F, the tape fast-forwards to the end of the messages. The TAD says, "End of messages." ERASING MESSAGES You can erase messages from the incoming message tape by recording over the old messages or by erasing the tape. NOTE: You must play all new messages before you can record over the messages. If you try to record over the messages before you listen to all of them, the TAD fast-forwards the tape to the end of the new messages and resets to answer calls. To record over the old messages, re-wind the tape to the beginning of the messages you want to record over. Then set the TAD to answer calls. To erase messages, follow these steps: 1. Play or fast-forward the tape to the end of the last message you want to erase. Then press STOP. 2. Press and hold down ERASE RE-WIND. Then press REWIND. This clears all messages from the incoming message tape and rewinds the tape to the beginning. RECORDING A MEMO To record a memo for yourself or others, press MEMO. The TAD says, "Record memo" and a long beep sounds. Record the memo after you hear the beep. Press STOP to stop recording the memo. After you record the memo, the TAD records the voice-stamp information and the record indicator flashes slowly. To play the memo see "Playing New Messages." RECORDING A CONVERSATION At any time during a phone conversation, you can record both sides of the conversation. Press 2-WAY RECORD. Recording begins. Press STOP to stop recording the conversation. The record indicator flashes after at least one conversation is recorded. If the ANSWER indicator flashes, press PLAY to play the conversation. If the ANSWER indicator is off, press REWIND to rewind the incoming message tape. Then press PLAY to play the conversation. WARNING: It is illegal in some states to record a conversation without the consent of all parties to the conversation, including the phone company. Check the laws in your area before you use the two-way recording feature. VOICE MAIL OPERATION A voice-mail message is a special message you record on the outgoing announcement tape in addition to the outgoing announcement. People who know the voice-mail security code can play the message. For example, when you are away, you can leave a voice-mail message that tells people where you can reach you. RECORDING VOICE MAIL Follow these steps to record a voice-mail message. 1. While the TAD is stopped, press and hold down VOICE MAIL. When the VOICE MAIL indicator rapidly flashes and a short beep sounds, release VOICE MAIL. The TAD says, ""Record voice mail." NOTE: If you press VOICE MAIL when there is no outgoing announcement recorded, the TAD says, "No announcement." 2. When the VOICE MAIL indicator lights steadily and a long beep sounds, speak in a normal voice about 12 inches from the TAD's microphone. The message can be as long as the remaining time on the outgoing announcement tape. 3. Press STOP to stop recording the message. A long beep sounds. The VOICE MAIL indicator remains on to show that voice mail is on. NOTES: You can record only one voice-mail message on the outgoing announcement tape. If you record a new voice-mail message, you record over the old message. If the tape reaches the end before you press STOP, eight beeps sound, the TAD says, "Error, End of tape," the tape automatically stops and rewinds, and the TAD automatically turns off voice mail. You must begin again from Step 1 to re-record the voice-mail message and turn voice mail back on. You can also record a voice-mail message by remote. See "Using Remote Control Commands" under "Remote Control Operation." CHECKING THE VOICE-MAIL MESSAGE To check the voice-mail message, press VOICE MAIL. The TAD says "Play voice mail," rewind the outgoing announcement tape, and plays the voice- mail message. TURNING VOICE MAIL ON OR OFF To turn voice mail on or off, press SET when the TAD is stopped. If the TAD says, "Set voice mail, Voice mail on," press REWIND or FAST-F to set voice mail off. The VOICE MAIL indicator turn off and the TAD says "Voice mail off." If the TAD says, "Set voice mail, Voice mail off," press REWIND or FAST-F to set voice mail on. The VOICE MAIL indicator turns on and the TAD says, "Voice mail on." You cannot turn on voice mail unless there is a voice-mail message recorded on the outgoing announcement tape. The TAD automatically turns off voice mail when you remove the outgoing announcement tape. After you set voice mail on or off, press STOP. You can also turn voice mail on or off by remote. See "Using Remote Control Commands" under "Remote Control Operation." VOICE-MAIL CODE When you record the remote code (see "Recording the Time, Date, and Remote Code"), the TAD also automatically records the voice-mail security code. This code is the same as the regular remote code, except the third digit is one larger. For example, if the remote code is 123, the voice-mail code is 124. NOTE: If the third digit of the regular remote code is 9, the third digit of voice-mail code is 0 and its second digit remains unchanged. For example, if the regular remote code is 129 the voice-mail code is 120. Give the voice-mail code to people who you want to hear your voice- mail message. USING VOICE MAIL BY REMOTE After you record a voice-mail message, you or anyone else that knows the voice-mail security code can listen and respond to the message from a remote phone. Follow these steps to use voice mail from a remote phone. 1. Dial you phone number. If voice mail is on, the TAD sound a short beep and plays the outgoing announcement. 2. During the announcement, press *. The TAD says, "Enter remote code." NOTE: If you do not correctly enter each digit of the voice-mail code within about 7 seconds, the outgoing announcement begins again. Press * and enter the correct code. If you do not correctly enter the voice-mail code within three tries, the TAD begins recording a normal incoming message. 3. Enter the voice-mail security code. The TAD plays the voice-mail message. After the message plays, the RAD says "Enter command." Enter one of the following commands within about 7 seconds, or hang up the phone to end the call. * - press to replay the voice-mail message. The TAD says, "Play voice mail," fast-forwards the tape to the beginning of the voice-mail message and plays the message. After the message plays, the TAD says, "Enter command." # - press to record a response to the voice-mail message on the incoming message tape. The TAD says, "Record message" and a long beep sounds. After the beep, begin recording the message. Hang up the phone when you finish the message. Or, if the recording time expires (as set by the INCOMING MESSAGE switch), the TAD beeps and hangs up. NOTES: If you do not enter * or # within about 7 seconds, the TAD beeps, says, "End of call," and hangs up. If you try to enter the voice-mail code when voice mail is off, the TAD says, "Error, Voice mail off," and finishes the announcement. You can still enter the regular remote code during the outgoing announcement for other remote control functions. If you do not enter the code by the end of the announcement, the TAD records the call as a regular incoming message. If you press # when the TAD is in the announce-only mode, the TAD says "Errors," and waits about 7 seconds for a command. You can also listen to the voice-mail message by regular remote operation. See "Using Remote Commands." REMOTE CONTROL OPERATION While you are away from your home or office, you can use a touch-tone phone (or rotary phone using an optional pocket phone dialer) to do any of the following: Set the TAD to start or stop answering calls. Play, rewind, and fast-forward you messages. Record a memo. Play or record the outgoing announcement. Monitor the room where the TAD is locate. Turn voice mail on or off. Play or record a voice-mail message. NOTE: If you plan to check your messages by long-distance, set ANSWER to TOL S to avoid unnecessary long-distance fees. See "Setting the Answer Switch." REMOTE ANSWER ON If you see MASTER POWER to ON and install both cassettes before you leave your home or office, you can later use any phone to set the TAD to answer calls. To set the TAD to answer calls, dial the phone number until the TAD answers (about 1 minute and 15 seconds). When the TAD answers, hang up the phone or press * and enter the remote code as described under "Using Remote Commands." To prevent the TAD from being set to answer calls, set MASTER POWER to OFF. Note: If the incoming message tape is full, the TAD says "Error, End of tape" and waits 7 seconds for a remote command. The TAD cannot record additional messages until you play all of your new messages. USING REMOTE COMMANDS Follow these steps to operate the TAD from a remote location. 1. Dial the phone number. 2. When the announcement begins, press *. The TAD says, "Enter remote code." 3. Enter your remote security code. Be sure each key press is at least 1/2 second long. NOTE: If you enter an incorrect code, the TAD says, "First error." Press *. After the TAD says, "Enter remote code." enter the correct code. If the second entry is incorrect, the TAD says, "Second error." Press *. After the TAD says, "Enter remote code," enter the correct code. If the third entry is incorrect, the TAD says, "Third error," completes the announcement, and records your call as an incoming message. Hang up the phone and try again. If the announcement ends before the second or third code entry, the TAD records you call as an incoming message. 4. The TAD tells you the current call and message count, plays the new messages, and says, "Enter the command as described under "Remote Commands." After each operation, the TAD says, "Enter command." If you do not enter a command within 7 seconds, the TAD hangs up. 5. To end remote operation, hang up the phone. The TAD resets to answer calls (unless you set it not to answer calls.
